Hi! Nearly all clinicians and support staff involved in patient care at our Medical Center have started IHIS training, and today we’re less than a month away from our Go Live date of October 15th. It’s an exciting time, and I want to thank all of you for your commitment and your enthusiasm during this period of change.

The transition to IHIS will certainly be challenging for each of us, which is why we have emphasized the importance of your training. But I want all of you to know that together, we will succeed during this transition to IHIS, and that we will provide all of the resources and support you need to use IHIS effectively on our Go Live date, October 15th and beyond. IHIS impacts all of us from folks in patient care to research to education and all who support these areas.

The IHIS team is currently finalizing the system conversion schedule for our Go Live weekend. On Saturday, October 15th, patients will be converted to IHIS, and all new medical documentation and patient billing will be entered through the new system. Patients who will be discharged that day, that is on Saturday, will not go through a conversion, if certain medical record activity can be completed by midnight on Friday.

Staffing schedules are being developed for Super Users and trainers, who’ll be available to answer questions and offer you guidance. There will also be a variety of activities to give our IHIS users an opportunity to take a break and ease any stress during this changeover process.

The IHIS team has also created a communications plan for our patients, their families and visitors for that Go Live weekend, and those messages will begin around the Medical Center in the coming days. We want our patients and families to be prepared for how Go Live and that Go Live changeover will impact their Medical Center experience, and you’ll have the information you need to make sure that our patients, their families and visitors navigate the changeover process smoothly. We want our visitors to know that patient information will remain secure and that the high quality of care they expect from us will continue.

As you can see by this station in the Ambulatory Care Center in ROSS, IHIS is up and running in many areas throughout our Health System. The care teams who work with IHIS in ambulatory sites like this have already made this transition, and they’re benefiting from the efficiency and convenience it provides. After our Go Live date, these ambulatory sites will be able to gain access to patient scheduling and registration, which will allow everyone to work within one, integrated system.

IHIS will save valuable time for caring for our patients, and will raise the quality of our patient experience and help to better connect our research, education and patient care mission areas. Patient care teams will be better identified and communicate more efficiently and more effectively. Barcoding will reduce medication errors. And each patient will have a single medical history. Simply put, IHIS will improve our ability to improve people’s lives each and every day.
